What does the fixed price actually cover?
Everything. The fixed price covers the full end-to-end migration: initial assessment, cloud environment setup, directory synchronisation, pilot migration with a test group, full mailbox data transfer, calendar and contacts migration, security configuration including MFA, DNS cutover, and post-migration support for 30 days. There are no hidden fees for complexity, no hourly overruns, and no surprises on the final invoice. What we quote at the start is what you pay.
Will my team lose access to email during the migration?
No, not even for a minute. We run the migration in phases so your team carries on using Exchange as normal throughout the entire process. We sync mail to the new environment in the background, and by the time we cut over, everything is already in place. Your staff log in to their new mailbox and their email, calendar, and contacts are all there waiting for them. We’ve done over 200 migrations and have never caused an outage.
How long does a migration actually take?
Between four and eight weeks, depending on your organisation’s size and complexity. Teams of up to 50 mailboxes typically complete in four weeks. Larger organisations with hybrid setups, shared mailboxes, or public folders tend to run closer to eight weeks. We produce a detailed project timeline at the start of your assessment and we stick to it. If anything on our side causes a delay, that’s on us, not you.
What data gets migrated - is it just email?
We migrate everything in your Exchange environment: emails (including sent items, drafts, and archive folders), calendars, contacts, shared mailboxes, distribution groups, and public folders. We also migrate your domain, configure your DNS records, and set up any mail rules or auto-replies you have in place. If you’re moving to Microsoft 365, we can also migrate your files from on-premises file shares to SharePoint and OneDrive as an add-on.
What if something goes wrong during the migration?
We take a full verified backup of your Exchange environment before we touch anything. If something doesn’t go to plan at any stage, we roll back, restore from backup, and start again. You are never at risk of losing data. That risk sits with us, not you. Our engineers are available throughout the project and we don’t hand over the keys until we’ve confirmed everything is working exactly as expected.
Do you support migrations to Google Workspace as well as Microsoft 365?
Yes, both platforms are fully supported. If you haven’t decided yet, we can walk you through the differences during your assessment call: pricing, storage limits, the apps your team would use day-to-day, and which platform tends to suit businesses like yours. Whichever you choose, the migration process is the same: assessment, environment setup, pilot, full transfer, security configuration, and handoff. We don’t have a preference. We just want you on the right platform for your team.
How much disruption will there be for our staff?
Very little. Most staff won’t notice anything until the day they log in to their new mailbox. We run a pilot migration first with a small group, typically IT and management, so we can catch any issues before they affect the wider team. On cutover day, your staff get a short briefing and a one-page guide to their new inbox. If anyone has questions, our team is on hand. We’ve found that the biggest cause of disruption isn’t the migration itself. It’s poor communication. We help you handle that too.
We have a hybrid Exchange setup. Can you still migrate us?
Yes. Hybrid environments, where some mailboxes are already in the cloud and others are still on-premises, are something we handle regularly. We’ll assess your current setup during the discovery phase and plan the migration around it. There’s no additional complexity charge; it’s factored into the fixed price from the start. If you’re not sure whether your setup qualifies as hybrid, just describe it to us on the assessment call and we’ll tell you straight away.
What happens after the migration is complete?
Every migration includes 30 days of post-migration support at no extra cost. During that period, if anything isn’t working the way you expect, whether it’s a mail rule, a shared calendar, or a Outlook profile that needs reconfiguring, we fix it. After 30 days, you’re free to continue with your own IT team or transition to one of our managed service plans if you want ongoing support. We’ll also decommission your old Exchange server safely if you need us to, so you’re not paying for infrastructure you no longer need.
